    Buildertrend accounting

Buildertrend accounting: real job numbers, every month

If you pay for Buildertrend, you have already invested in running your jobs right. What most firms at that stage are missing is not more software — it is an accounting team that works in both systems: reading Buildertrend the way your field team does, and closing QuickBooks Online the way your CPA needs. That is what we do every month.

Built for established home builders, remodelers, and general contractors running roughly $5M–$10M a year on Buildertrend, with QuickBooks Online as the books.

You have already paid for the tools — the gap is who runs the accounting

Buildertrend is an excellent project-management system: schedules, selections, change orders, POs, and client communication in one place. It is not a double-entry general ledger. It can record what happened on a job, but it cannot produce the financial statements your CPA, bank, and bonding agent need without someone deciding how every transaction maps into the books.

A firm that pays for Buildertrend can usually afford a bookkeeper. What is rare is a bookkeeper who reads selections, change orders, and POs the way a builder does — who knows a deposit is not revenue, and a change order is not a surprise at year-end. That is the gap we fill.

How we run your monthly close around Buildertrend

Once a month, we work through your books with Buildertrend open alongside QuickBooks Online — tied to your close calendar, not ad hoc. The same checks run every month, so nothing drifts for quarters before anyone notices.

    • Jobs, phases, and cost categories mapped 1:1 between Buildertrend and QuickBooks projects
    • Every Buildertrend invoice matched to a QuickBooks invoice — nothing double-counted, nothing missing
    • Purchase orders and bills reconciled so committed costs land in the right job and period
    • Deposits and progress billings posted as liabilities until the work is earned
    • Change orders priced and posted with margin intact
    • Retainage tracked on both sides of the ledger
    • A monthly tie-out: job profitability in Buildertrend agrees with job P&Ls in QuickBooks

What you get out of it

The point is not tidy records — it is numbers you can run the company on.

    • Job P&L per project with actual margin, not an estimate from the field
    • Budget vs. actual by cost category, with committed costs included
    • WIP schedule with earned revenue, over/under billings, and cost-to-complete
    • Cash-flow view that separates deposits, retainage, and real earned revenue
    • Clean trial balance and tax-ready records your CPA can use without a reconstruction project

New setup, or years of drift — we handle both

If you are starting fresh, we build the mapping once — chart of accounts, items, projects, and Buildertrend cost categories — and the monthly loop keeps it clean.

If the two systems have drifted for years, that is a cleanup project, not a monthly problem. We rebuild the mapping, true up the history, and quote it as a fixed-scope project before monthly service begins.

    Frequently asked questions

Does Buildertrend sync with QuickBooks Online?
Partially. Buildertrend can push invoices, bills, and payments toward QuickBooks, but a sync is not accounting: it does not decide which job absorbs a cost, whether a deposit is revenue or a liability, or how a change order carries margin. We own those decisions and run a monthly reconciliation so both systems agree.
Do we have to stop using Buildertrend?
No. Buildertrend stays your system of record for schedules, selections, and change orders; QuickBooks Online stays your books. We keep the two tied together, so you keep working the way you already do.
    What does Buildertrend accounting cost?
The Advanced plan at $1,300/month includes Buildertrend and Jobber reconciliation. Core at $850/month covers the books without the project-management tie-in. Cleanup or catch-up work is quoted separately as a fixed-scope project before monthly service begins.
Our Buildertrend and QuickBooks numbers have been wrong for years. Can you fix it?
Yes. That is a cleanup project: we rebuild the job mapping, true up the history, reconcile the accounts, and quote it at a fixed scope before moving you onto a monthly plan.
Do you work with Jobtread or CoConstruct too?
Yes. The same monthly close works with Jobtread and CoConstruct — Buildertrend is simply our most common setup.
