Client work: what we've actually built for Puget Sound businesses

Three real engagements, described the way they happened. Client names are withheld at their request, so each is identified by trade and city instead.

Construction remodeling company · Bellevue, WA

Job costing, POs, and bill pay built on top of Buildertrend

    The situation

A Bellevue remodeling company was running projects in Buildertrend but had no usable cost picture in QuickBooks Online. Costs landed in the books as generic expenses, purchase orders lived in email, and bills were paid without ever being tied back to the job they belonged to. The owner could see revenue, but not which projects were actually making money.

    What we did

    • Built a cost code structure that matched how the crews actually estimate and bill, then mapped it consistently across Buildertrend and QuickBooks Online
    • Set up job costing so labor, materials, and subcontractor costs post to the correct project and phase
    • Implemented a purchase order process so committed costs are visible before the bill arrives, not after
    • Set up a bill pay workflow with approval, so payments run on a schedule instead of ad hoc

    Where it landed

Project-level cost reporting now comes out of the monthly close instead of a spreadsheet rebuild, and the owner reviews margin by job with costs coded the same way every month.

    Housing developer · Tacoma, WA

QuickBooks Desktop migration with payroll history, plus a new payroll setup

    The situation

A Tacoma housing developer was still on QuickBooks Desktop, including payroll, and needed to move to QuickBooks Online without losing history. Payroll migrations are where these conversions usually break — year-to-date wages, tax setup, and employee records do not carry over cleanly if the file is moved without preparation.

    What we did

    • Reviewed and prepared the Desktop file before conversion so the data that came across was worth keeping
    • Migrated to QuickBooks Online with payroll history preserved
    • Set up payroll in QuickBooks Online, including employee records, pay items, and Washington tax setup
    • Verified year-to-date figures after the move so the first live payroll run reconciled

    Where it landed

The developer runs payroll and monthly accounting in one QuickBooks Online file, with prior-year history intact for comparison and lender requests.

Ownership group — developer, builder, and contracting entities · Puget Sound, WA

One accounting system across three related companies

    The situation

An ownership group ran three businesses — a development entity, a building company, and a contracting company — with no consistent accounting structure between them. Intercompany activity was common, each entity had grown its own way of recording things, and there was no way to see the group as a whole without manual work.

    What we did

    • Set up an accounting system across all three entities with a shared chart of accounts structure so reports are comparable
    • Kept each entity's books separate and clean while making intercompany activity traceable
    • Provided ongoing QuickBooks Online consultation as the group's processes changed
    • Standardized monthly reporting so the owner sees each company individually and the group together

    Where it landed

The group now works from one consistent accounting structure, and month-end reporting covers all three entities without rebuilding the numbers by hand.
