One platform. Clean books. No cleanup fees.
QuickBooks Online handles your accounting, invoicing, payments, sales tax, payroll, and job costing in one place. Stop paying someone to untangle three different apps.
Get a Free Book ReviewHow most contractors end up paying for a cleanup
It usually starts the same way. You open a business, and someone tells you to get a few different apps.
- 1
You sign up for an invoicing app
Joist, Jobber, Housecall Pro, or something similar. It works fine for sending invoices. But it does not do accounting, and it does not file your sales tax.
- 2
Customers pay through PayPal, Venmo, or Square
The money shows up in your bank account as a lump deposit, minus processing fees. There is no connection between the payment and the invoice it belongs to.
- 3
Someone tells you to get QuickBooks
So now you have QuickBooks too. But you are only using it for the accounting side. Your invoicing is still somewhere else. Your payments are somewhere else. Nothing talks to each other.
- 4
The sync breaks, or it never worked to begin with
Your invoicing app tries to push data into QuickBooks. Duplicate entries appear. Sales tax amounts do not match. Deposits cannot be traced to specific invoices. Your accountant has to play detective every month.
- 5
Year-end arrives and you are paying $2,000–$6,000 for a cleanup
Your books are a mess. Sales tax is off. Your CPA cannot prepare your return without clean financials. You are paying someone to fix what could have been done right from the start.
Everything your contracting business needs, in one place
QuickBooks Online is not just accounting software. For contractors, it can replace most of the apps you are already paying for.
Estimates and Contracts
Create estimates, add your terms, and get electronic signatures from customers. Everything is attached to the job before any work starts.
Progressive Invoicing
Bill a deposit upfront, then invoice the balance on completion. Or set up draw schedules for larger projects. Each invoice ties back to the original estimate.
Payments
Accept credit card and ACH payments directly through QuickBooks. When a customer pays, the invoice is automatically marked paid and the deposit matches to your bank. No detective work.
Sales Tax
In Washington state, sales tax is based on job location. QuickBooks auto-calculates the correct rate from the service address on every invoice. File directly from QuickBooks when the quarter ends.
Payroll
Run payroll, handle direct deposits, and stay compliant with Washington state requirements like L&I, Paid Family Medical Leave, and overtime rules. All recorded in your books automatically.
Job Costing
Track income and expenses per project. Know which jobs made money and which ones did not. Make pricing decisions based on real numbers, not gut feelings.
Receipt Tracking
Snap a photo of receipts on your phone and upload them directly to QuickBooks. They attach to the transaction and are stored digitally. No more shoeboxes at year end.
Accounting and Reporting
Profit and loss reports, balance sheets, cash flow statements. Know how much you made this month, this quarter, or this year. Your CPA gets clean financials without extra work.
What happens when you split things across multiple apps
Every app you add creates another place where things can go wrong.
| Capability | Joist / Jobber + PayPal + QuickBooks | QuickBooks Online (alone) |
|---|---|---|
| Invoicing | Through a separate app | Built in |
| Receiving payments | PayPal / Venmo / Square | QuickBooks Payments |
| Auto-match payments to invoices | Manual matching required | Automatic |
| Sales tax by job location | Manual lookup on DOR | Auto-calculated |
| Progressive invoicing | Not available | Built in |
| Payroll | Separate service needed | Built in (add-on) |
| Job costing | Partial, not tied to books | Tied to actual financials |
| Clean P&L for your CPA | Requires cleanup first | Ready to pull anytime |
| Reconciliation time | 2+ hours monthly | 15 minutes monthly |
Saving $50 a month on software can cost you thousands
The math does not work in favor of separate apps once you factor in what your accountant has to do.
Multiple apps
- Joist or Jobber: $30–$70/month
- PayPal / Square fees on every payment
- QuickBooks for “accounting only”: $30/month
- Higher accounting fees to reconcile the mess
- Year-end cleanup: $2,000–$6,000
- CPA charges more because books are not clean
QuickBooks Online (everything in one)
- QuickBooks with payments: $50–$90/month
- Processing fees built into one system
- Lower accounting fees (less work)
- No year-end cleanup needed
- CPA gets clean reports instantly
- You actually know your numbers month to month
“The extra $50 a month for QuickBooks is cheaper than the $3,600 cleanup you will need if you do not use it.”
Accurate books are not optional. They are how you make decisions.
When your books are accurate and up to date, you are not guessing. You know how much you made on that last job. You know if you can afford to hire. You know how much you owe in sales tax before the filing deadline surprises you. You know what to tell your CPA instead of handing them a pile of bank statements and hoping for the best.
When your books are a mess, everything else suffers. You overpay on taxes because expenses are not categorized. You underpay on sales tax and get hit with penalties. You cannot pull a profit and loss report that means anything. And when an audit comes — L&I, insurance, or DOR — you are spending weeks pulling together information that should take an afternoon.
One system that handles everything is not about convenience. It is about having one source of truth that you can actually rely on. When your invoicing, payments, sales tax, and payroll all live in QuickBooks, the numbers are consistent because there is nowhere for things to fall through the cracks. Reconcile once a month. Fifteen minutes. And you always know exactly where your business stands.
QuickBooks is not forever — and that is fine
When do you need something bigger?
If you are doing under $500K in revenue and running a small crew, QuickBooks Online handles everything you need. But once you start hitting $500K to $1M and beyond, and you need dispatching, scheduling, fleet management, or deep project management, it might be time to add a platform like ServiceTitan, Buildertrend, or Jobber.
Just know that adding a specialized platform means more integration work, more reconciliation, and higher accounting costs. That is a trade-off that makes sense when your business is big enough to justify it. But until then, do not overcomplicate things. Start with QuickBooks. Get your books right. Grow from there.
